Entering Names from Trek logs into MoneyWorks

In MoneyWorks there is a system to keep a record of all customers and suppliers etc.

We keep a record of all other customers – from the safety records and the Trek Logs to collect stats.

What is a Customer?

We think of “Customer Clusters” as well as individuals. The reason is that we need to keep track of such things as Families and Couples and even groups that often PAY together.

So a customer can have a name such as “The Adams Family” and a code ADAM00 they will also have a Type, i.e. Family, a feeling

Finding an old Name

On the Trek Log it usually says if the person is new or a return. Even new ones sometimes have ridden at the other Venues in the past & may be in the system. You can search the list of NAMES by column etc. using the Find Button. First and or last names may be useful to try as well as the Code based on the surname.

Creating a new Name

Mouse: Show | Name -> New
Keyboard: Ctrl 2 – Ctrl N

Tick-Boxes at the top:

Customer yes
Debtor yes If they have to be invoiced

Code: Format is: LAST00

Name:

First and last Name of main customer – this is the one the Trek Guide chose for that, perhaps the mother or the main organiser etc.

e.g.

Smith Family
PlaceMaker Work Party
Martha Smith & Tom – Couple
Dianna Hoban (daughter). Natasha (mum)

Address:

Use the lines thus, in this order this helps us sorting by suburb etc:

e.g.

1 Street
2 Suburb    Halswell
3 City                  Christchurch
4 Country           NZ

If you don’t have all this info – please enter what you have in the same sequence, leaving blanks for the unknown.

Trek Guides are encouraged to ask people where they are from and fill this in – if the info is not there just guess from the names & email. Or put Japan etc. Note the addition of the suburb if we know it.

If they are to be INVOICED – write the whole address, or find it as we do need it all on those occasions!
